Duties Include: 

  • Attend homeowners association board and members meetings, and draft accurate meeting minutes.
  • Serve as Assistant Secretary on the Boards of Associations, as approved by the respective Boards.
  • Create annual meeting notices, and assist in their distribution to owners.
  • Assist in Board and Member Meeting preparations, including review of agendas and packets.
  • Provide assistance in the facilitation of Annual Member Meetings, including proxy collection, the establishment of quorum, facilitation of Board elections, and ensuring all annual approvals are appropriately completed and recorded in minutes.
  • Working under the guidance of the Director of Association Administration, assist operational teams (Directors of Ops, General Managers, and Property Managers) with ensuring compliance with HOA governing documents and CCIOA.
  • Draft and distribute written consents in lieu of meetings (and other docs as necessary) for electronic signature using Adobe Sign e-signature program.
  • Act as "Owner" of the internal HOA documents library within Microsoft SharePoint sites, including the posting of approved meeting minutes and other Association documents.
  • Prepare document templates for PMs and GMs to help maintain quality control and consistency.

Location: Vail Valley

Start Date: March 1st

Employment Type:  Full Time Year Round, 32 hours/week

Pay Rate: $24-25/hour DOE

Schedule: within Monday - Friday 9am-5pm, flexible schedule and hybrid remote available (must live in Vail Valley)

    • Two years college preferred.
    • Experience of at least two years in an administrative role.
    • HOA experience preferred. 
    • Familiarity with CCIOA preferred.
