JOB SUMMARY: 

Responsible for directing the maintenance teams throughout the Tahoe/Truckee Area while creating and managing departmental standards and procedures for property management and HOA.  Responsible for coordinating EWH personnel or vendors involved in repair and maintenance of the buildings, grounds and utility systems of properties managed by EWH.

MAJOR DUTIES:

Staff Management

  • Leadership for maintenance team: Responsible for the overall direction, coordination, and evaluation of personnel.
    • Maintain and update excellent procedures, standards, and scripts. Collaborate with Engineering Manager to create departmental SOP’s
    • Consistent feedback/coaching for Engineering Manager, Assistant Manager, and Supervisor.
    • Focus on mentoring and growing the skill set and knowledge base of the Engineering Manager, Assistant Manager, and Supervisor.
    • Regular Staff Meetings to communicate residential and association information and needs.
  • Process and maintain all HR documentation
    • Support Engineering Manager, Assistant Manager, and Supervisor on staff actions, behavior issues and disciplinary action as needed.
    • Support Engineering Manager, Assistant Manager, and Supervisor during employee annual reviews. Complete annual Engineering Manager review.
  • Manage employee hours and overtime
    • Bi-Monthly Payroll – Review after manager completes – make sure payroll matches billable labor.
    • Review Team Schedule as needed to support manger and supervisor
    • PTO and Sick time management for team review and make sure team is taking PTO and kept under 80 hours each year.
    • Review Track Labor Hours against Payroll and where hours are spent by the team. Coach team on billable hours for highest efficiency.
  • Direct and ensure staff and self-participation in all corporate and departmental training. Maintain compliance with all safety and OSHA requirements.
    • Communicate staff safety concerns to VP of Operations.
    • Facilitate training in corporate provided training software.
    • Make sure safety standards are met and in compliance with OSHA.

Administration

  • Create, test, and implement thorough Standard Operating Procedures (SOPs) for the Maintenance Department.
  • Create a Training program for all new hire employees.
  • Regularly review each HOA maintenance contract scope of work and evaluate its efficacy and value for each HOA.  Work with the CAM to propose SOW changes to the Boards.
  • Maintain Mechanical Systems in collaboration with Engineering Managers and Supervisors.
  • Manage Fire, Life, and safety systems in collaboration with Engineering Managers and Supervisors.
  • Manage Alarm Monitoring in collaboration with Engineering Manager and Supervisor.
  • Assist maintenance with the monitoring of building utility systems as needed.
  • With assistance from corporate EWH establish and maintain efficient inventory control systems for maintenance inventory, parts and supplies including purchasing, receiving, and proper accounting of consumed inventory and or stock transfers.
  • Ensure maintenance department coordinates activities with other departments.
  • Perform tasks in Track, UKG, training software and any building control systems software.

Homeowner Association Management

  • Administer a preventative maintenance program to ensure adherence to all building codes.
    • Self-Inspect buildings weekly and create work orders for the engineering team to repair items.
    • Self-Inspect residences bi-annually and make work orders for engineering teams to repair.
    • Prepare and implement Daily/Weekly/Monthly expectations for team.
    • Building Control Systems
      • Understand all building control systems, monitor alarms and communicate with contractors for maintenance.
  • Project Management
    • Project planning with start dates and deadlines.
    • Work collaboratively with the Project Manager to create bids for reserve projects that the team can complete for board consideration and approval if requested from CAM team.
  • Attend all Association Board Meetings and present maintenance reports and update the status of special projects as requested.

Residential Maintenance Management

  • Lead Engineering Managers and Engineering Supervisors in Rental/Homecare Program management.
  • Create and implement engineering SOPs for all Rental/Homecare Programs and ensure engineering team is following them. This will be done in partnership with the managers and supervisors.
  • Manage the maintenance of the Rental/Homecare programs and the residences are prepared to their highest standard.
  • Assist Owner Services Manager in coordinating service vendors and sub relationships for owners for the interior/exterior of residences. Such as painters, electricians, snow removal, defensible space, fire suppression, etc. if outside HOA responsibilities

Budget

  • Preparation in partnership with the VP of Ops and the Controller.
  • Operate department within the budgeted guidelines.
  • Operate within HOA budget guidelines and financial responsibilities.
  • Maximize billable hours departmentally as appropriate

Communication

  • Regular interdepartmental communication; to include Association Managers, Housekeeping, Guest Services, Owner services, Accounting.
  • Regularly attend management meetings and other property meetings.
  • MOD Program – Overnight coverage of phone calls – Communicate to the MOD managers that share this program and the departments that will be required to fix overnight issues.
  • Maintain and support all vendor/sub relationships.
  • Maintain and support relationships with mountain partners throughout the Tahoe area.

OTHER DUTIES:

  •  Additional duties and special projects as requested and/or assigned.

ACCOUNTABILITIES:

Reports directly to VP of Operations and Association Managers.

Prior supervisory experience required.  Bachelor’s degree (B.A.) from four-year College or university; or at least three years related experience and/or training; or equivalent combination of education and experience.  Experience in common interest developments preferred. Must possess a valid California or Nevada driver’s license.  Experience with condo Chiller/Boiler systems. Confidence speaking at meetings with board members.
