HOA Administrator
Job Description
Are you organized, with excellent written and organizational skills? Our Vail Valley Home Owner Association team is looking for an HOA Administrator. If you're interested in a flexible schedule with lots of opportunity to work independently, we'd love to meet you!
Duties Include:
Support the Director of Association Administration in managing essential HOA functions, ensuring compliance with governing documents and CCIOA. Attend virtual board and member meetings, draft accurate minutes, and maintain the internal HOA documents library on SharePoint and Vantaca. Assist in meeting preparations, including agenda reviews, packet creation, and facilitating annual meetings by managing proxies, quorum, and Board elections. Process and track Secretary of State reports, DORA registrations, and assist with requests from title companies, real estate agents, and lenders. Coordinate electronic document signings, update Board contact lists, and support ongoing education efforts by preparing Owner Continuing Education articles and HOA management surveys.

Start Date: 4/7/2025
Employment Type: Part Time Year Round
Pay Rate: $24 - $26/hour
Schedule: 3 days per week, determined approximately two weeks in advance based on our association meeting schedule
Post Closing Date: 3/15/2025 or when filled
The successful candidate will have excellent written communication skills, with a strong aptitude for business writing, and the ability to work independently as a self-starter. Strong organizational skills and keen attention to detail are essential. A minimum of two years of administrative experience is required, with HOA experience and familiarity with CCIOA preferred. While a two-year college degree is preferred, relevant experience will also be considered.
