We are seeking a detail-oriented and proactive Project Coordinator & Weekend Supervisor to support project planning and execution throughout the week while overseeing operational activities during weekends. This hybrid role ensures the smooth coordination of internal projects; unit modification and architectural review requests and delivers high-quality supervision of weekend operations. Responsibilities include coordinating in-unit pre-construction walkthroughs, resident correspondence, staff oversight, resource allocation, and issue resolution in our luxury high-rise condominium property.

Schedule: Wednesday - Sunday 

Hourly wage - $30-32 DOE

Essential Duties and Responsibilities:

  • Project Coordination (Weekdays)
    • Assist in planning, organizing, and executing projects across departments, with primary focus on maintenance and operational initiatives
    • Track project timelines, deliverables, and milestones
    • Coordinate with cross-functional teams to ensure deadlines and objectives are met
    • Coordinate the unit modification and architectural review process, including tracking requests, preparing documentation, and ensuring compliance with building rules and regulations
    • Conduct or coordinate in-unit pre-construction walkthroughs and ensure all required approvals are in place prior to work commencement
    • Maintain detailed project documentation and status reports
    • Identify and escalate project risks or delays
    • Support project leads with logistics, scheduling, and communication
  • Weekend Supervision
    • Act as the on-site point of contact during weekend hours
    • Supervise weekend staff members to ensure operations run smoothly and safely
    • Address any immediate operational or customer service issues affecting residents and guests
    • Ensure compliance with policies, procedures, and safety protocols
    • Monitor resource use (e.g., facilities, inventory) and report discrepancies
    • Provide weekend reports or logs to weekday management team
    • Handle resident and guest concerns with professional, hospitality-focused approach

Other Duties and Responsibilities:

  • Hands on, no job is beneath me approach to management 
  • Ability to lift heavy objects when required
  • Attend all board meetings, including working sessions, if requested
  • Ability to gain & retain the trust of internal and external customers.
  • Other duties as assigned

Education:

  • College graduate and/or professional certificate preferred

Experience:

  • Sustained background in hospitality (high-end hotel/resort/property management experience) required
  • Supervisory or management experience
  • Must have a desire to help people - owners, guests, staff & alike

Skills:

  • Language Skills
    • Ability to read and comprehend instructions, correspondence, and memos
    • Ability to write correspondence emails and effective communication to convey needs of residents to management and operations
    • Ability to read, analyze, and interpret common scientific and technical journals, and legal documents
    • Ability to effectively listen and comprehend employee requests and concerns
    • Ability to respond to complaints from customers in a professional manner
    • Ability to effectively present information to top level clients and colleagues
  • Technical Skills
    • Proficient in Microsoft Office, Excel, Outlook
    • Current property management software experience
    • Computer, phone, copy machine, fax, and basic office equipment operation
  • Mathematical and Reasoning Skills
    • Must be proficient in basic math/algebraic calculations
    • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
    • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Certificates, Licenses, Registrations
    • M100 or CMCA preferred, or ability to obtain

    • High-rise condominium property management setting

Scope of Authority:

Supervisory Responsibility:

  • Operational oversight and issue resolution authority during weekend hours. No disciplinary authority - escalation to management required for personnel matters
